Clear Terms for a
Stress-Free Safari

Everything you need to know about deposits, payments, cancellations, and how we protect your booking.

Section 01

Deposit

To confirm and secure your safari or Kilimanjaro climbing trip, a deposit of 30% of the total tour cost is required at the time of booking. This deposit allows us to begin making all confirmed reservations — including accommodation, park entry permits, vehicle assignments, and guide arrangements.

The deposit is non-refundable. It is, however, transferable to a rescheduled trip of equal or greater value, subject to availability and our change policy below.

Deposits can be paid by international bank transfer, Visa, Mastercard, or American Express. Full payment details and our bank information will be provided in your booking confirmation email.

Section 02

Final Payment

The remaining balance of your tour cost is due 60 days before your departure date. For bookings made within 60 days of departure, the full amount is due at the time of confirmation.

We will send a reminder email 15 days before the payment deadline. If the final balance is not received by the due date, Nyange Adventures reserves the right to treat the booking as cancelled and apply the standard cancellation charges outlined below.

All payments must be made in US Dollars (USD). Any bank charges or transfer fees incurred are the responsibility of the client and should be covered on top of the invoice amount.

Section 03

Cancellations & Refunds

We understand that plans can change. If you need to cancel your trip, please notify us in writing as soon as possible. Cancellation charges are calculated from the date we receive your written notice, as follows:

Notice Period Before DepartureCancellation Charge
More than 90 daysDeposit only (30%)
60 – 90 days50% of total tour cost
30 – 59 days75% of total tour cost
Less than 30 days100% of total tour cost
No show / no notice100% of total tour cost

Refunds, where applicable, will be processed within 14 business days of the cancellation date and will be returned via the original payment method. Bank transfer fees for refunds are deducted from the refund amount.

Please note that some third-party suppliers — such as lodges during peak season or scheduled internal flights — may have their own strict no-refund policies. We will always inform you of any such conditions before you confirm your booking.

Section 04

Changes to Your Booking

We will do our best to accommodate any changes you request after your booking is confirmed. Requested changes may include altering travel dates, adding destinations, changing accommodation, or adjusting group size. Please note:

  • Changes requested more than 60 days before departure are generally accommodated at no extra administrative charge, subject to availability.
  • Changes requested within 60 days of departure may incur supplier amendment fees, which we will advise on a case-by-case basis.
  • Date changes are treated as a transfer of the deposit and are subject to availability of the new dates.
  • Reducing the number of participants in a group may result in a price recalculation based on the new group size.
  • All change requests must be submitted in writing by email.

Nyange Adventures reserves the right to make minor itinerary adjustments due to weather, road conditions, wildlife movement, or safety concerns while on safari. Where possible, we will always seek a comparable or better alternative.

Section 05

Travel Insurance

We strongly recommend that all clients take out comprehensive travel insurance before their trip. Your policy should ideally cover:

  • Trip cancellation and curtailment
  • Emergency medical expenses and evacuation
  • Loss or theft of personal belongings and baggage
  • Personal liability
  • Delays or missed connections

Nyange Adventures does not provide travel insurance and cannot be held responsible for any costs arising from a lack of adequate coverage. We can recommend trusted insurance providers upon request.

Section 06

Responsibility & Liability

Nyange Adventures acts as the organiser of your tour and takes all reasonable care to ensure your trip runs smoothly. However, we cannot be held responsible for:

  • Circumstances beyond our control, including weather events, political unrest, acts of nature, or government-imposed restrictions
  • Actions or failures by third-party suppliers such as airlines, lodges, or ferry operators
  • Personal injury, illness, or loss of property during the tour
  • Any additional costs incurred due to delays, cancellations, or changes caused by circumstances outside our control

By confirming your booking, you acknowledge that participation in safari activities and mountain climbing carries inherent risk, and you agree to take personal responsibility for your health and safety in accordance with the advice of your guide.

All clients are required to disclose any pre-existing medical conditions that may be relevant to their participation in planned activities at the time of booking.

These terms and conditions are governed by the laws of Tanzania. Any disputes will be subject to the jurisdiction of the Tanzanian courts.
